Illustrates how, when recording an artwork, the artist’s name is selected from the ‘People & Institutions Archive’. This archive provides a list of previously entered persons or organisations with additional information (considering standard data sources) and provides a resource to all parts of the data model. If an entity does not exist there is a corresponding entry procedure to record the structured details of a new entity, be it person or organisation. Each selected person or organisation can be specified with a role (e.g. artist, author, assistant) in relation to each single artwork or element.

B-5 ADD MATERIAL/TECHNIQUE CONTROL INFORMATION (click download for pdf document)
Illustrates how, when describing an artwork, material(s) or technique(s) are selected from the ‘Material Thesauri’ whereby avoiding misspelt or erroneous data in the resulting record. Users can manually adjust the display text without loosing index information. This information on material and technique serves e.g. identification and labelling of artworks. Different languages may be used. More detailed information on material and technique is recorded in the MT module (see B7-B8).

Illustrates how, when describing an artwork, the location is selected from the ‘Location Archive’ whereby avoiding misspelt or erroneous data in the resulting record. The ‘Location Archive’ is a group of tables and programming which provides a resource to all parts of the data model. If a location does not exist or is a variation of a previously entered location there is a corresponding entry procedure to record the structured details of the required location.
